Customers

Perkville’s Customers page is the central hub for managing loyalty and referral program participants. From this page, business staff can search for customers by name or email, add new customers to the program, and send invitations to join. Staff can also manage customer communication, view membership status, track point history and balances, manually adjust points, log activities, and void transactions when necessary. Additionally, they can handle account transfers and manage referrals by viewing or submitting them. To access these tools, simply click Customers in the left-hand navigation menu of the Dashboard.

Accessing a customer's profile

To access and manage a customer's profile in Perkville, follow these steps:

  1. Start from the Dashboard and click on "Customers" in the left navigation menu

  2. Use the search bar to locate the customer by entering their email or name

  3. Click on the customer's name from the search results

If you know the customer's ID from the Perkville API, you can go to the customers profile by entering their user_id in the URL. For example: https://www.perkville.com/biz/1234/customer/{user_id}/

Invite customers

Manually send invitations to customers to join your loyalty program by clicking Invite on the customer's profile.

You can also invite customers in bulk via the Invite customers page (accessible via your primary dashboard page).

You can only send invites to pending customers

Manual points, redemptions, and adjustments

Business staff members can manually add points, redeem points, and make point adjustments.

The ability to give or redeem points for a customer is dependent on the staff member’s role. Find the right person at your business who has these permissions if you do not.

Manually adding points to a customers account

To add points to the customer’s balance, click on the "Give points" button.

To remove points from the customer’s balance, click on the "Redeem points" button.

You can also add points to customers' profiles in bulk.

Voiding transactions

You have the ability to void both earning and redeeming transactions, effectively reversing the transaction. This feature is helpful for correcting transactions made in error.

How to void a transaction

  1. Access the customer profile.

  2. Select the transaction you want to void by checking the box to the left of the transaction

  3. Click the Void transaction button

Only staff members with Employee or Admin level permissions can void transactions.

View and submit referrals

You can view pending and completed referrals by clicking View referrals on a customer's profile.

To manually submit a referral, click Submit referral. You will then be prompted to enter the email address of the friend being referred.

If the friend is already a member of your business

If the friend being referred is already a member of your business, you will receive a notification warning that the referred friend has already earned points at the business. Depending on your staff role, you'll be able to override this warning and award the referral bonus manually.

Change a voucher status

You can mark a customer's vouchers as USED or UNUSED by locating their redemption via their customer history page and then clicking on the status.

Manage the customer's email

You can manage a customer's email addresses by clicking Manage emails on the right hand side of their customer profile. This page describes the rules for managing customers' email addresses.

Switching the primary email

If a customer has a registered account and multiple confirmed email addresses (not pending), you can switch the primary email among those confirmed ones. Simply click the Make primary button next to the email you want to set as the primary email address.

If a customer has a pending account, you can switch the primary email between unconfirmed emails as well

Adding and removing emails

You can add and remove emails from most accounts but not if under certain conditions such as if they are a staff member at a business on Perkville.
